Roles: School Admin
The Admin Dashboard is your command center for monitoring and managing your school's daily operations. It provides real-time insights into student enrollment, attendance, fees, staff, and upcoming eventsβall in one place.
Only users with School Admin role can access the full administrative dashboard. Teachers, parents, and students have their own role-specific dashboards.
Overviewβ
When you log in as a School Admin, the dashboard displays:
- Key Performance Indicators (KPIs) - Student count, teacher count, fees status
- Recent Activity - Latest announcements, upcoming holidays
- Financial Overview - Fee collection status for current session
- Attendance Insights - Real-time attendance trends (if configured)
- Exam Results Summary - Quick view of recent exam performance
- Quick Actions - Shortcuts to common tasks

Student Statisticsβ
Total Students
- Shows current total enrollment count
- Includes all active students across all classes
- Calculation: Count of all students with
application_status = 1(accepted/enrolled)
Gender Distribution
- Boys: Percentage of male students
- Girls: Percentage of female students
- Displayed as: Pie chart or percentage bars
- Use case: Track gender balance, plan gender-specific facilities/programs
Example:
Total Students: 450
Boys: 52% (234 students)
Girls: 48% (216 students)
If gender distribution is significantly imbalanced, consider targeted admission campaigns to attract underrepresented groups.
Staff Statisticsβ
Total Teachers
- Count of users with "Teacher" role
- Includes both active and inactive (soft-deleted) teachers
- Use case: Monitor teacher-student ratio
Total Staff (if displayed)
- Count of non-teaching staff (accountants, office staff, etc.)
- Use case: Track staff headcount
Recommended Ratios:
- Primary School: 1 teacher per 20-30 students
- Secondary School: 1 teacher per 25-35 students
- Total Staff: Approximately 1 non-teaching staff per 50 students
Academic Structureβ
Total Classes
- Count of distinct class levels (e.g., Grade 1, Grade 2, ..., Grade 12)
- Use case: Quick view of school size and structure
Total Streams (if applicable)
- Count of academic streams (Science, Arts, Commercial, etc.)
- Use case: Track diversification of academic offerings
Financial Overviewβ
The dashboard shows fee collection status for the current session year.
Fee Collection Summary:

- Students who have paid 100% of compulsory fees
- Displayed as: Count and percentage
- Example: 320 students (71%)

- Students with no fee payments yet

- Color coding:
- Green: Fully paid
- Yellow/Orange: Partially paid

What This Tells You:
- Collection Rate: If 70%+ are fully paid, collection is good
- Outstanding Amount: Partially paid + unpaid = follow-up needed
- Cash Flow: High fully paid percentage = better cash flow
A healthy school typically maintains 75-85% fee collection rate by mid-session. If your unpaid percentage exceeds 20%, prioritize fee reminders and follow-ups.
Subscription & License (SaaS Schools)β
License Expiry:
- Days remaining until your current subscription expires
- Warning threshold: Typically shows alert when 7 days or fewer remain
- Displayed as: Days count or progress bar
Example:

Action Items When Expiring Soon:
- Renew subscription before expiry
- If auto-renewal is enabled, verify payment method
- Check if pending payment for upcoming plan
Prepaid Upcoming Plans:
- If you've purchased a plan in advance, dashboard shows:

- Start date (typically day after current plan expires)
- Payment status (paid/pending)
If license expires, you may lose access to certain features or the entire system. Always renew at least 3-5 days before expiry.

The dashboard displays the 5 most recent announcements posted school-wide.
What's Shown:
- Announcement title
- Posted by (admin name)
- Posted date
- Preview of announcement content
Types of Announcements Displayed:
- School-wide announcements only (not class-specific)
- Announcements without subject/class restrictions
Quick Actions:
- Click announcement to view full details
- Click "Post New Announcement" to create one
Use Case:
- Stay informed about what's been communicated
- Verify announcements posted correctly
- Ensure important messages are highlighted
Check this section daily to ensure critical announcements (exams, holidays, events) are visible to your school community.
Upcoming Holidaysβ
Shows upcoming holidays for the current session year.
What's Displayed:
- Holiday name (e.g., "Independence Day")
- Holiday date
- Type (public holiday, school-specific, etc.)
- Days until the holiday
Sorting:
- Holidays are shown in chronological order (nearest first)
- Only shows holidays from today onwards within the current session year
Use Case:
- Plan staff/teacher schedules around holidays
- Prepare notices for parents
- Schedule exams avoiding holiday periods
