Albums Organizationโ€‹

The gallery is organized into albums, similar to photo albums or folders.

Creating Albumsโ€‹

  1. Log in to Admin Panel
  2. Go to Gallery โ†’ Manage Gallery
  3. Or from Dashboard โ†’ Content โ†’ Gallery

Step 2: Create New Albumโ€‹

  1. Click Create Album or New Album
  2. Fill in album details

Album Name:

Use clear, descriptive names with year
Examples:

Album Description:

Add context and details
Example:

Session Year:

  • Select academic session (e.g., 2024/2025)
  • This helps organize and filter albums
  • Makes it easy to view specific year's content

Date:

  • Event date (when photos were taken)
  • Helps with chronological sorting

Visibility:

  • Public - Visible to all users (students, parents, staff)
  • Private - Visible only to admin/selected users
  • Students Only - Only students can view
  • Parents Only - Only parents can view
  • Staff Only - Only teachers and staff can view

Featured Album:

  • โœ… Featured albums show prominently on homepage
  • Use for most important/recent events
  • Limit to 2-3 featured albums at a time

Step 3: Save Albumโ€‹

  1. Review details
  2. Click Save or Create Album
  3. Album is created (empty, ready for photos)

Uploading Photos & Videosโ€‹

Preparing Media Filesโ€‹

Photo Requirements:

Format:

  • โœ… JPG/JPEG (recommended for photos)
  • โœ… PNG (for images with text/graphics)
  • โš ๏ธ HEIC/HEIF (convert to JPG first for compatibility)

Size:

  • Recommended: 1920 x 1080 px to 3840 x 2160 px
  • Minimum: 800 x 600 px
  • Maximum: 4K (3840 x 2160 px) - larger files upload slower
  • File Size: Under 5MB per photo (2-3MB ideal)

Quality Tips:

  • Use good lighting when taking photos
  • Hold camera/phone steady (avoid blurry images)
  • Take landscape orientation for group photos
  • Ensure faces are clearly visible
  • Avoid overly dark or bright images

Video Requirements:

Format:

  • โœ… MP4 (H.264) - recommended
  • โœ… MOV
  • โœ… AVI
  • โš ๏ธ Check max file size limits

Size:

  • Maximum: Usually 50-100MB per video
  • Length: 1-5 minutes ideal (shorter is better for loading)
  • Resolution: 1080p (Full HD) recommended

Uploading Processโ€‹

Step 1: Select Album

  1. Go to Gallery โ†’ Manage Gallery
  2. Find the album you created
  3. Click Upload or Add Photos

Step 2: Select Files

Method 1: Drag & Drop

  • Drag photos/videos from your computer
  • Drop them into the upload area
  • Multiple files can be uploaded at once

Method 2: Browse Files

  • Click Browse or Choose Files
  • Select photos from your computer
  • Hold Ctrl (Windows) or Cmd (Mac) to select multiple

Bulk Upload:

  • Select up to 20-50 files at once (varies by system)
  • Progress bar shows upload status
  • Don't close browser until upload completes

Step 3: Add Photo Details (Optional)

For each photo, you can add:

Caption/Title:

Describe what's in the photo
Example: "JSS 2 students at the science fair demonstration"
"Champion house receiving trophy - Red House wins!"
"Students visiting the planetarium"

Tags/Keywords:

Help with searching later
Example: "sports, athletics, track, 100m race"
"science, experiment, chemistry, lab"

Featured Photo:

  • Mark 1-2 photos as "featured" for album cover
  • Best quality photos that represent the event

Step 4: Save & Publish

  1. Review uploaded photos
  2. Remove any unwanted images
  3. Click Save or Publish
  4. Photos appear in gallery immediately

Organizing Photosโ€‹

Reordering Photos:

  • Drag and drop to rearrange
  • Or use arrow buttons to move up/down
  • Put best photos first

Setting Album Cover:

  • Select the most representative photo
  • Or upload a custom cover image
  • Shows as thumbnail in album list

Bulk Actions:

  • Select multiple photos (checkboxes)
  • Delete multiple at once
  • Move to different album
  • Download selected

Editing Albumsโ€‹

To Edit an Existing Album:

  1. Go to Gallery โ†’ Manage Gallery
  2. Find album in list
  3. Click Edit button or pencil icon

You Can Update:

  • Album name
  • Description
  • Session year
  • Date
  • Visibility settings
  • Featured status

Common Edits:

  • Fix typos in album names
  • Update descriptions with results/details
  • Change visibility after event
  • Un-feature old albums

Deleting Contentโ€‹

Delete Individual Photos:

  1. Open album
  2. Select photo(s) to delete
  3. Click Delete or trash icon
  4. Confirm deletion
  5. โš ๏ธ Permanent - cannot be undone

Delete Entire Album:

  1. Go to album list
  2. Click Delete Album
  3. Confirm deletion
  4. โš ๏ธ All photos in album are deleted

When to Delete:

  • Poor quality/blurry photos
  • Duplicate images
  • Photos taken by mistake
  • Outdated content (after archiving)
  • Student privacy concerns

Content Guidelinesโ€‹

DO:

  • โœ… Use high-quality, well-lit photos
  • โœ… Capture diverse activities and students
  • โœ… Include captions with context
  • โœ… Organize chronologically
  • โœ… Feature positive moments and achievements
  • โœ… Update regularly (weekly or after events)
  • โœ… Remove poor quality images

DON'T:

  • โŒ Upload photos without permission
  • โŒ Include embarrassing or unflattering images
  • โŒ Post photos showing student injuries or distress
  • โŒ Upload copyrighted images from internet
  • โŒ Leave albums disorganized or unlabeled
