4SCH Parent Quick Reference Card

Print this card and keep it handy! — All essential tasks in one place

🎯 QUICK START (Your First Steps)​

  1. Log in to 4SCH app or web portal
  2. Select your child from dashboard
  3. Check 3 things daily:
    • ✅ Attendance for the day
    • ✅ New messages from teachers
    • ✅ Outstanding fees due

📍 HOW TO CHECK CHILD'S ATTENDANCE​

From Dashboard:

  1. Open 4SCH → Select child
  2. Look at attendance summary card
  3. See today's status + percentage

Full Attendance Report:

  1. Click child's name → Attendance tab
  2. View calendar/list showing:
    • ✅ Present
    • ❌ Absent
    • ⏰ Late
    • 🏥 Excused (absent with permission)

⚠️ Attendance Alert: Schools require 75-80% minimum. If below 85%, contact the school.

📊 VIEW RESULTS & REPORT CARDS​

Check Test Scores & Grades:

  1. Go to Grades or Results tab
  2. Select term/semester
  3. See subject-by-subject breakdown
  4. View test scores and percentage

Download Report Card:

  1. Grades tab → Find report card section
  2. Click Download Report Card
  3. Save as PDF (print if needed)

Understanding Grades:

  • 70-100% = A (Excellent)
  • 60-69% = B (Very Good)
  • 50-59% = C (Good)
  • 40-49% = D (Pass)
  • Below 40% = F (Fail)

💰 PAY SCHOOL FEES​

STEP 1: View Your Invoice​

  1. Go to Fees section
  2. See invoice details:
    • Amount due
    • Due date
    • Fee breakdown (tuition, development levy, etc.)
  3. Check for discounts (early payment, siblings)

STEP 2: Choose Payment Method​

STEP 3: Pay Online (Paystack Example)​

Via 4SCH App:

  1. Click Pay Now on invoice
  2. Select payment method: Paystack
  3. Enter your Paystack phone number
  4. Select amount (full or partial payment)
  5. Click Confirm

On Your Phone:

  1. Paystack prompt appears
  2. Enter your Paystack PIN
  3. Wait for confirmation

✅ Payment complete! Receipt auto-generates.

STEP 4: Verify Payment & Get Receipt​

  1. Check invoice status: Should change to PAID ✓
  2. Click View Receipt or Download Receipt
  3. Save PDF to phone/computer
  4. Keep as proof of payment

💡 Money-Saving Tips:

  • Pay early = get discount (5-10%)
  • Use Paystack = lowest fees (1%)
  • Set reminders 5 days before due date
  • Pay immediately after salary (avoid spending)

STEP 5: Paying in Installments (If Allowed)​

  1. Choose 3 Installments option
  2. System splits fee into equal parts
  3. Each installment has own due date
  4. Pay each one like a regular invoice
  5. Get reminders before each due date

⚠️ Important: Missing installment deadlines = late fees!

👨‍🏫 CONTACT TEACHERS​

When to Message:

  • ✅ Ask about child's progress
  • ✅ Explain absences/late arrivals
  • ✅ Ask about assignments
  • ✅ Request parent-teacher meeting
  • ❌ Don't message for urgent emergencies (CALL SCHOOL instead)

How to Message:

  1. Go to child's profile
  2. Click Message Teacher
  3. Select teacher (class or subject teacher)
  4. Write clear message
  5. Click Send

Response Time: Usually within 24 hours on weekdays

Good Message Example:

"Hi Mr. Okafor, Chidi struggled with yesterday's algebra homework (questions 5-8). Could you clarify these topics? Any extra practice problems? Thank you."

❓ COMMON QUESTIONS ANSWERED​

Q: How do I switch between my children? A: Click on dashboard → select different child from dropdown or tabs

Q: Can I pay fees for multiple children at once? A: Check if school offers "Bulk Payment" option. Otherwise, pay each child separately.

Q: When will my payment show in 4SCH? A: Online payment (Paystack/Flutterwave) = instant. Cash at office = within 24 hours. Bank transfer = 1-24 hours.

Q: What if I see grades that seem wrong? A: Don't panic. Message the teacher politely asking for clarification. Teachers review before posting.

Q: How often should I check 4SCH? A: At least once daily (evening is best) to catch attendance issues and new messages.

Q: Can other parents see my child's information? A: No. You can ONLY see your own child's data. Privacy protected by school.

Q: What's the minimum attendance percentage? A: Usually 75-80%. Your child may not sit exams if below this.

Q: Can I get a receipt for my payment? A: Yes! Always download the PDF receipt after paying. Keep it for your records.

🔧 TROUBLESHOOTING​

Can't Log In?​

  • ✅ Check username (email, phone, or username from school)
  • ✅ Click Forgot Password → reset password
  • ✅ Contact school office if account not found

Payment Failed - "Insufficient Funds"​

  • Check Paystack balance: Dial *234# or open app
  • Top up Paystack account
  • Try payment again

Payment Failed - "Transaction Timeout"​

  • Don't pay again!
  • Check: Did money come out of Paystack?
  • If YES: Wait 30 minutes, then check 4SCH
  • Still pending? Contact school with Paystack SMS proof
  • School will verify and update within 24 hours

Fees Show Unpaid But I Already Paid​

  • Screenshot your Paystack confirmation SMS
  • Screenshot the 4SCH payment screen showing "pending"
  • Message school bursar with both screenshots
  • Include: date, amount, payment method
  • School verifies within 24 hours

App Won't Open / App Crashes​

  • Restart phone
  • Close app completely and reopen
  • Check internet connection (WiFi or mobile data)
  • Clear app cache (phone settings)
  • Reinstall app if still broken

Not Receiving Notifications?​

  • Go to Profile → Notification Settings
  • Turn ON: Attendance, Fees, Grades, Announcements
  • Check phone settings: Allow notifications
  • Check email spam folder
  • Verify phone number in profile is correct

Don't See Child's Information​

  • Verify you're logged into correct account
  • Contact school admin to link your account to child
  • School may not have added child to system yet

🔐 SECURITY TIPS​

Protect Your Account:

  • ✅ Use STRONG password (letters + numbers + symbols)
  • ✅ Don't share password with anyone (not even child)
  • ✅ Log out on shared computers/phones
  • ✅ Never give school your Paystack/bank PIN
  • ✅ Always download receipts as proof

Safe Payment Practices:

  • ✅ Only use payment methods in 4SCH app
  • ✅ Don't send money to personal accounts
  • ✅ Verify student name on invoice before paying
  • ✅ Keep all payment receipts and SMS confirmations
  • ✅ Don't pay twice if first payment shows "pending"

📋 BEFORE YOU PAY FEES CHECKLIST​

  • Review invoice carefully
  • Check for available discounts
  • Verify due date
  • Choose lowest-fee payment method
  • Verify correct student name on invoice
  • Confirm correct amount
  • Complete payment securely
  • Download receipt immediately
  • Save Paystack/bank SMS confirmation
  • Check invoice shows "PAID"

🎓 DAILY CHECK ROUTINE (2 minutes/day)​

Every evening:

  1. ✅ Check attendance (Did child attend?)
  2. ✅ Check messages (New teacher messages?)
  3. ✅ Check upcoming deadlines (Fees due? Events coming?)
  4. ✅ Review latest grades (New scores posted?)

Weekly:

  • Review full attendance report
  • Check overall grade trends
  • Note fee payment dates

Monthly:

  • Download and save report card
  • Check payment history
  • Update contact info if changed
